OSC Officers meeting 2/11/09

All officers are in attendance except Roger. Roger out for personal reasons.

Presidents opening remarks
Rick stressed the need to recognizing and rewarding our members. Talking about a building a ride community. Bring in casual riders during the riding season, May thru September. There are about 12 current members who want to help out in the club and the need to train them now. Train them as officers and how to lead rides now so they can help out with future club functions.

Communication/website administration
Officers need to use the VCO list for all emails. We needed to make sure all the offices have the passwords for the admin “bug” account for the Ning site so we can all make changes.

Activities
Need for a member wants to lead April’s ride. Severin Villiger was mentioned and Julie will ask him. A Point of Order – posting a call for an official Ride coordinator. All agreed. Rick will post the new position and an election will take place. Other activities ideas included a rider “passport” which could include discounts from business in other cities and taking pictures of locations around the state. Also when we set rides, try to list them in time to complete instead of mile to help people gage the time they may need to set aside for the ride.

The April ride will have a safety meeting before the ride. We’ll be meeting at Voodoo Doughnut 2. Other ideas for rides were discussed. The club needs to find a central meeting location that is large enough for scooters and for a meeting area to have safety meeting and to discuss other club business. Until a better location is found, Voodoo Doughnut 2 will be our meeting area, unless noted otherwise. Work on having informal club member meetings at 10:30 am before each monthly ride. It will give a chance for our members to get involved with the clubs business. Rick would like to set up a meeting in early April for members “Making the OSC what you want – rides” would be the theme of the meeting and it would inform people about leading rides and the proper way to do so. We want to teach people to lead rides in accordance to the articles of the club. We need to also let riders know they don’t need to follow the ride to completion, and that riders can leave for any reason.

Winter mixer had about 17 people show. It was a positive event. Julie is setting up a March mixer at the Green Dragon Brewery. It is for members and friends of members. It’s a way to recruit new members and for current member to keep in touch and have a good time. There will be more information posted on the web site. Food will be provided by OSC, and funds approved by Nicole.

Painted Hills Ride
Camping fees and support car expenses to be paid by the club. The ride is for larger bikes. A cap may need to be placed on the ride to keep fees and ride size manageable. An in-town event maybe be created for those who couldn’t make it on the ride due to cap or engine displacement.

Oregon Scooter Raid 7
Rick has set up an agenda for Raid as a loose guide line for getting members involved and setting a time line for activities and rides. Rick has access to the Kober Celebration center. It is a free location that will leave the club more funds for food and support for Raid itself. The main objective Rick is promoting to members is 2 nights of camping and a good ride. Volunteers are needed to flesh out Raid activities and make it a true member run event. Planning meetings will be set up soon to generate support, volunteerism and excitement. Ricks working agenda will be open to ideas and discussion at the pre-ride march meeting. Encouraging all riders, on all types of bikes, to come is a goal. “Podding” off smaller bikes for different rides will need to be discussed. Finding out what size bikes are coming will help in planning the main ride at Raid as well as getting to and from the Camas location. We’ll need to set up a Saturday rider to take those who cannot make it on Friday night. Ordering toilets will be needed, maybe a sponsor driven food station for 24 hour snacking was mentioned.

Tech sessions
Julie is in the process of setting up tech sessions. They will start with vintage bikes. The hope is to start them around April or May.

Newsletter
Roger is working on the first edition of the newsletter. A few ideas for the newsletter are tips for scooter commuters and getting the FAQ from the old OSC site to give to new riders.

Telecommunication
Teleconferencing is too expensive so the officers will use more emails and physical meetings to conduct business.
Miscellaneous business
Show more OSC support at upcoming rallies and look into selling more OSC member swag either on line or directly to members at events.
