Oregon Scooter Club Officer/Board Members meeting 11/5/08

Start of meeting 6:45 P.M.
Board member Juaning opened the meeting with a few words about the club, past and present and the energy within the club. He stressed the club was a bridge to close the gap between new riders and experienced riders. He discussed the fact that, as a club, we host rides and provide safety on those rides. It is an individual responsibility to make sure they have an endorsement, insurance, knowledge of the road and their bike. As officers, we are to lead by example and not be afraid to remove riders from rides that have not met their individual responsibilities. Few things to look into for future rides: complete first aid kit, checking insurance for riders, safety checks on bikes. There is also a need for a riding protocol and Julie was going to look into it. Also we need to promote scooters as a different and viable form of transport.

Rick went over the list of agenda items. Then there was a clarification of the list of board members. Nicole went over what the board is and what it is there to do. Steve will be publishing the list of board of directors on the web site. Current Board Members: Juaning Higgins, Dave “Doughnut” Fogarty, Dave McCabe, Jake Stept, Karen Geiyzing (?), Tanya Schnider, Matt O’Conner, Greg Walters and Nicole Walters.
The meeting minutes of 10/9/08 were accepted.
The new president, Rick, talked about how happy was with the club. He reinforced Juanings opening comments with wanting to give riders direction towards having fun, safety and getting people in the club.
Current paid members is 94 as of 10/24/08. Current of expired members is 11, but 2 of those have responded to an expiration notice. Steve would like to send out a reminder notice to expired members. Steve does realize it is the responsibility of the members to re-up their membership. Total site profiles are 119. Steve would like to make membership easier. The web site has made it easier for people to join and get information on the club. There was talk of posting a list of all members on the site but due to privacy issues this will not happen. Rick introduced a proposal to raise the returning members’ fee to $36. The reasons are to put the extra funds towards promoting club membership, add incentives and perk that benefit members on monthly rides. The proposal was a draft and the 11th month expiration in draft was changed to the end of the 13th month. Motion called. Nicole called for a motion. Jauning seconded the motion. Motion passed by Board majority with changes.
Financial Report for the period September 4, 2008 – November 4, 2008
Beginning balance: $1670.99 as of 9/04/08
Income: $711.93 ($28 regalia OSC decals, $ 683.93 renewals, new memberships)
Expenses: $ 522.68 (RAID $ 326.40, Ride support $164.90, Postage $31.38)
Ending Balance: $1860.24 as of 11/04/08
$50/April paid annual fee for State non-profit status
Nicole discussed the ins and out of getting money from the club for events.

A few suggestions for future rides: Talking to new riders, give tips for riding in group, create steps for riding protocol, getting new riders familiar with their bikes, finding out riders skill level, setting a ride captain to help with safety and to enforce some of these ideas.
3 member rides are already set for this next year. Some of the dues will go toward helping with support vehicle and camping fees.
Raid 7 will happen but it may look different than past events. Raid meeting needs to be set up for Dec. or Jan. Place a poll on the web site to see what the members want from Raid. Rick set forth a draft of the Raid. To be discussed further at meeting. The Raid weekend will stay the first full weekend in August. Aug. 6,7,8.
Holiday mixer was discussed for the first weekend in December. The 5th? OSC members +1 possible new member? Tentative but Rouge brewery will supply a free room for a cocktail style mixer from 7-10 pm. There was the suggestion of Dan and Louis restaurant as a possible location for future mixers. The thought is this type of mixer would be good to do once a month to keep the members familiar with each other. The funds from dues will be used for the first mixer as of now. OSC funds will not be used to cover cost of alcohol for these events.
Julie is setting up tech sessions with local members of OSC and members of other clubs to further knowledge of scooter maintained and upkeep. Juaning offered a tech session in his shop. Start with vintage scooters with a move to modern Vespas and modern bikes in general. Video record session for future use?
The Web tech of the ning site is Tom. Thought is to keep the site autonomous. Blog is for administrative members and forum is for all. Sounds like there will have to be more finalizing on what part of the site is used for what.
Rick will be contacting Roger about newsletter. Some of Rogers thought on the news letter: 5 issued spaced out through the year, product reviews from committed sponsors, listing of sponsors, art for the newsletters, and Roger would like to stylize the OSC logo for stickers and other items. December 10th was put out there for the first newsletter. The merchandise discussion will be moved to the website. Roger would like to get 1 or 2 new regalia items out this year.
Next meeting we are going to talk about implementing new ideas, talk about getting the Salem and Eugene chapters up and running, helping promote the Salem day rally. There is talk about setting up a President fund to be used by President and Vice President to help promote rides and to help members. Set to a motion for a $40 per month President Fund. Nicole moved for a motion, Juaning seconded the motion and motion passed by Board majority. Idea of an injured riders fund was brought up but due to liability the club can't do it.
Next meeting will be set for the first or second Wednesday in January, and promoting open member meetings before rides.
