July 6, 2008 @ the Hip Drip Café
Attending: Rick Fletcher, Steve Castle, Jake Stept, Mike Einis, Peggy Van Winkle, Mary Ann Schelb, Brett Rogers, Arden Collins, Blake Morley
Jake called the meeting to order at 10:08 am.
ADDITIONS/MODIFICATIONS TO SCHEDULE
Friday: Rick will have his vehicle and trailer at Corazzo to pick up individuals’ equipment
Saturday:
The ride to the ranch will include a rest stop at Rick’s near Canby. Bring some coins so you can buy lemonade and cookies from Rick’s 3-year-old granddaughter.
The ride to Silver Falls will be in a rough figure-8 shape, so people will have the option of taking a shorter route.
Sunday:
Cleanup to begin right after awards.
RALLY THEME
The bug theme is popular. Tom Carey has made magnets with the flyer design and planned to hand some out at the Seattle rally.
TRUCK
Rick has found a driver for his SUV and trailer, who will follow the main ride to the ranch. Steve does not have a driver for his truck; one will need to be found if we are to use it.
A-FRAME RAFFLE
A few people have purchased multiple tickets. Tickets are still available!
PUBLICITY
Tom Carey has produced an awesome flyer with insects on scooters, as well as a banner for the website.
Cassie looked into posting an announcement on Craigslist, but the "for sale" section seemed inappropriate, and the "events" section didn't have a "Marion County" location option, which is where Raid is taking place. She gets irked when she runs across fudged postings on Craigslist, so she decided against posting.
Talk up the Raid at the Portland summer rally July 11-13!
BEER
Mike reported that a keg of Miller will cost us $58 plus a $30 deposit. The deposit has increased because kegs are apparently worth quite a bit as scrap metal. The keg will need to be picked up on Saturday morning from Mike’s place of work.
TROPHIES
Steve has completed the trophy for Best Modern Scooter. If you’re building a trophy, get crackin!
MISCELLANEOUS OTHER STUFF
Meet & greet: Nicole has reported that Bradford at Corazzo is very happy to host, and was thinking along the lines of hot dogs and a keg. We need to find out if they have a table we can borrow for registration set-up.
Jake will coordinate finding places to stay on Friday night for people coming from out of town.
Peggy will deliver the 5 cases of water donated by Safeway to Rick for transport to the ranch.
Projector: Rick also offered his up. Jake will bring his self-amplified speakers. We still need movie suggestions.
Registration: no one has reported finding any wristbands. We will probably need to buy more.
Firewood: Steve found a few suppliers, varying in price up to $125 for ½ cord, but has not determined if that includes delivery. As a backup, Rick offered some free uncut wood that he has on his Canby property, but this would require several people to spend time and labor splitting it.
Port-a-Potties: Nicole has arranged for them to be delivered Friday evening – they know the Millers and have access to the site.
Gymkhana: Christy Martino has some fun ideas for this and has offered to help Jason out.
Raffle donations: Nicole has written a letter for our sponsors and plans to send it out this week. Jake found a big roll of tickets left over from last year that we can use for the raffle.
Christy Martino lives in Salem and can show up at the Ranch on Saturday morning if needed to hold down the fort. Jake will make some roadside signs and will ask her to put them up at the last few turns near the Ranch.
NEXT MEETING: WEDNESDAY, JULY 23, 6:30 PM, Plan B (see events section)
